Pipedrive Launches Nova AI Tool to Cut Sales Admin Work

Sales teams often face a familiar tradeoff: spend more time talking with prospects or spend more time documenting those conversations in a CRM. Pipedrive is introducing an AI tool designed to reduce that administrative burden by handling meeting preparation, transcription, summaries and suggested CRM updates inside its sales platform.

Pipedrive announced the general availability of Nova, an AI meeting intelligence tool built directly into its customer relationship management platform for small and medium-sized businesses. Nova becomes available globally on September 16 and is included in all Pipedrive plans at no additional cost.

The tool works across the sales meeting process. Before a call, Nova can assemble information already stored in Pipedrive, including deal history, emails and previous conversations. During a meeting, it can record and transcribe the discussion. Afterward, it generates a summary, identifies next steps and recommends updates to CRM records.

For small businesses with limited sales staff, that combination could reduce the amount of time employees spend switching between customer conversations, email, meeting notes and CRM data entry.

Australian property technology company Snug tested Nova before its general release. Snug, whose software is used by more than 73,000 property managers and 1.5 million renters in Australia, said the technology saves its six-person sales team between 30 minutes and one hour per sales meeting.

“Nova saves me at least half an hour to an hour per deal meeting in terms of note-taking, transcribing and follow-up action steps,” said Justin Butterworth, Founder and CEO of Snug. “The tool essentially triples the size and effectiveness of our sales team. We’re not having to do all of the manual sales administration, preparation, follow-up. We’re getting a second set of eyes and intelligence on every conversation.”

The time savings highlighted by Snug could be particularly significant for smaller sales organizations, where administrative work can consume capacity that might otherwise go toward prospecting, customer relationships and closing deals. However, Snug’s experience represents one company’s results, and the amount of time saved will likely depend on existing sales processes and how extensively a team uses its CRM.

Pipedrive points to its own research as evidence of the administrative problem it is attempting to address. Its 2026 CRM Trends Report, based on a survey of 1,000 sales and marketing professionals, found that 42% of respondents spend at least 40% of their working day on activities that do not directly generate revenue. Only 11% identified actively closing deals as one of their most frequent weekly activities.

Another Pipedrive report found that 71% of professionals spend at least 10 minutes preparing for each customer call by reviewing sources such as emails, CRM records and previous interactions. Nearly half, 47%, said follow-up work or CRM updates frequently take more than 24 hours to complete.

Nova attempts to consolidate several of those tasks. Before a meeting, the system pulls together available customer and deal information already recorded in Pipedrive. That could help a salesperson quickly review where a negotiation stands, what was discussed previously and what actions remain outstanding without manually searching through multiple records.

During calls, users can record conversations through Pipedrive’s desktop app or use Nova’s visible notetaker in Google Meet, Zoom and Microsoft Teams. The feature includes configurable consent and participant notification settings, an important consideration for businesses recording customer conversations.

Businesses using meeting recording technology still need to consider their own policies and applicable recording and consent requirements. Requirements can vary depending on where participants are located, so companies may need procedures governing when recording is appropriate and how employees obtain consent.

After a meeting, Nova produces a transcript and summary, identifies follow-up steps and proposes changes to information such as a deal’s stage, value and expected closing date. The system does not automatically apply those changes. Salespeople can review, edit and approve suggested CRM updates before they become part of the customer record.

That human review component addresses another issue identified in Pipedrive’s research. According to the company’s report, only 23% of surveyed professionals said they would be very comfortable allowing AI to complete tasks automatically without their review. Meanwhile, 43% said the AI capability they most wanted was assistance drafting emails, summaries and notes that they could review before sending or saving them.

“Everyone in this category is trying to build an autopilot, and I think that’s the wrong plane to be flying. What actually helps a rep isn’t more automation. It’s more confidence. Nova gets everything else out of their way so reps can spend that energy doing the one thing they’re actually paid to do: sell. That’s what we built Nova to do,” said Joe Futty, Chief Product and Technology Officer at Pipedrive.

For small business owners evaluating the feature, the usefulness of Nova will depend partly on the quality of information already stored in Pipedrive. Pre-meeting briefings rely on available CRM data, emails and past conversations, meaning businesses with incomplete records may get less value from those preparation features than companies that consistently maintain customer information.

AI-generated summaries and CRM recommendations also require oversight. A mistaken deal value, expected closing date or next step could affect forecasts and follow-up decisions if accepted without review. Pipedrive’s approval process allows employees to verify proposed changes, but businesses will still need to make that review part of their workflow rather than treating AI-generated information as automatically accurate.

The lack of an additional charge could make Nova easier for existing Pipedrive customers to test without adding another standalone meeting intelligence subscription. Because the technology operates within Pipedrive’s infrastructure, customers also do not need to deploy and manage a separate AI meeting application.

For smaller sales teams, the larger question will be whether Nova can consistently turn conversations into reliable CRM information while reducing the administrative work surrounding each deal. If it does, salespeople could spend less time reconstructing meetings and updating records after calls and more time working directly with prospects and customers.
